1 . Job Title : Driver

Knowledge, Skills & Competences

  • Excellent knowledge of the English language
  • Language skills in Madi and/or Lugbara are a must
  • Discipline and punctuality
  • Resilience and patience
  • Familiarity with West Nile region, specifically Arua, Moyo and Adjumani
  • Familiarity with the location of Refugee Settlements in the West Nile Region
  • Certificate in mechanics and vehicle maintenance
  • Certificate in defensive driving
  • Ensures unrestricted availability of vehicles at all times and reports restrictions immediately
  • Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management
  • Willingness to travel within the country

Responsibilities

Key Responsibilities

The driver is responsible for;

  • Safely and responsibly performing all official travel using official vehicles
  • Regularly servicing and looking after official vehicles
  • Taking account of all available information on road conditions, accessible routes and locations
  • Running official errands and
  • Assisting with other office services

The driver performs the following tasks:

Specific Tasks

Driving

  • Provides passenger transport in an official car for office, project or programme staff, official visitors and guests
  • Runs errands for the project, programme or office, e.g. sending letters and messages, paying bills and buying smaller quantities of office supplies
  • Helps with transporting goods
  • Completes the vehicle log correctly and conscientiously in accordance with GIZ standards.

Service

  • Cleans the interior and exterior of the vehicle(s) regularly
  • Checks oil, water, brakes and brake liquid, tyre pressure, battery levels and the entire vehicle, monthly or every 5,000 km (whichever is first), headlights, brakes, bodywork for dents etc.
  • Is responsible for the project vehicle documents and their good condition, keeping a vehicle log and recording monthly maintenance
  • Calculates monthly petrol, oil and lubricant consumption for the daily cash fund and for forwarding monthly vouchers to cost accounting
  • Reports need for service and carries out minor repairs
  • Immediately reports all involvement of the project or office vehicle in accidents, including minor accidents, damage, loss or theft of vehicle fittings

Knowledge management

  • Uses all available information (including current radio news on traffic conditions) to update daily knowledge of road conditions, current passable routes and locations, and shares this information with other office drivers.

Other duties/additional tasks

  • Assists other colleagues as needed in the project, programme or office if there is no travel pending, carries out other office work on request
  • Appropriate appearance and attire (friendly manner with all passengers)

Does not use, at any time, the car for his/her own private purposes. Such misuse of the vehicle is considered a serious misconduct and will immediately lead to a warning and may result in dismissal.

Qualifications

  • Uganda Certificate of Education (“O” Level)
  • Holds a valid driver’s licence

Details of experience

  • At least 5 years’ work experience as a driver with references
  • No major accidents in the past 3 years
2 . Job Title : Receptionist /Administration Assistant

Knowledge, Skills & Competences

  • Working knowledge with EU policies and procedures are an advantage.
  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office).
  • Very good written and oral knowledge of English and Luganda languages.
  • Politeness and helpfulness in dealing with visitors.
  • Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management.

Responsibilities

A. Key Responsibilities

The receptionist / administrative assistant will be in charge of:

Reception:

  • Liaising with customers in a service-oriented manner on behalf of the office by providing professional. phone services, personally welcoming visitors and maintaining a high standard in the reception area.
  • ·Performing reception and secretariat services on a daily basis.

Administration:

  • Manages daily office operations.
  • Managing the project office facilities.
  • Supporting the organisation of events and meetings.

B.  Specific Tasks

1.     Reception services

  • Answers and accepts phone calls and messages and/or forwards them.
  • Maintains a call back list of all incoming calls which cannot be taken by the relevant staff member.
  • Registers, documents and organises incoming and outgoing correspondence (e-mails, packages and personally delivered messages).
  • Ensures deputisation for other staff members.
  • Ensures visitors are comfortable by offering newspapers, refreshments etc.

2.     Office work and services

  • Ensures creation and/or regular updating of a list of contacts and addresses (telephone, e-mail).
  • Sorts and distributes incoming correspondence (e-mail, fax, other official documents).
  • Makes photocopies and scans documents if and when required.

3.     Support to Administrative Experts

  • Supports the preparation and organisation of events, meetings and activities in close collaboration with the staff members of the project (invitation letters, reservations, reimbursement of transport allowance and per diem, etc.).
  • Compiles and organises information materials, taking into account corporate design regulations of EU and GIZ.
  • Labels files according to GIZ/EU filing system.
  • Fills lists and tables according to the specific instructions of the administrative expert.
  • Assists in preparing inventory lists.
  • Maintains record of service requests.
  • Prepares invoices/ receipts ready for stamping and have them signed by the responsible people.
  • Assists in the preparations for internal control and EU audits.
  • Updates trainings, consultancy lists and databases as advised by the technical staff.
  • Prepares advance and refund calculations for work related trips.
  • Updates business cards to the contact list.
  • Regularly updates the fuel consumption of all project vehicles.
  • Checks the logbooks of all project vehicles.
  • Maintains the project office stock.
  • Assures facility management of the project office and initiates in accordance with management repairs, maintenance, etc.
  • Prepares financial documents (vouchers, receipts, etc.) to be delivered to the finance manager.

Other Duties/Additional Tasks

  • Undertakes further job training related to his/her position and duties, if required. Special training programs shall be identified and selected jointly with the Team leader.
  • Assists in and/or carries out other project activities and other tasks as assigned, e.g. focal point for HIV, gender, security, etc., if required.
  • Performs other duties and tasks at the request of management.

Qualifications

  • University Degree in secretarial studies, administration or any related field.

Details of experience

  • At least 3 years’ professional experience in a comparable position.
3. Job Title : Driver, Mityana

Knowledge, Skills & Competences

  • Possession of a valid driver’s license.
  • Excellent English and Luganda language skills.
  • Discipline and punctuality.
  • Possesses good Stress tolerance and patience levels.

Responsibilities

A. Key Responsibilities

The Driver will be in charge of;

  • Safe and responsible driving of office vehicles.
  • Routine maintenance and care of office vehicles.
  • Takes careful note of all available information concerning street conditions, effective routes and locations.
  • Running of official errands and assisting with other office services

B.  Specific Tasks

Driving and Chauffeuring

  • Drive office vehicles safely and chauffeur GIZ employees, official visitors and guests to official destinations.
  • Assists in the transport of goods.

Maintenance of Cars

  • Regularly cleans the inside and outside of the office vehicle.
  • Checks oil, water, brake and clutch fluids on a daily basis; tyre pressures, battery water, and overall vehicle condition on a monthly basis or after 5000 km whichever comes earlier; tests lights, brakes, bodywork for dents, etc.
  • Reports the need for maintenance and undertakes minor repairs.
  • Immediately reports any involvement of the project/office vehicle in any, even minor accidents, or any damage or theft of equipment from the vehicle.
  • Logs in vehicle movement in vehicle logbook correctly & accurately on a daily basis and registers each monthly check.
  • Compiles driver reports on condition of vehicle.

Road Information

  • Uses all available information (incl. actual radio news on traffic situations) to update knowledge of street conditions, effective routes and locations daily.
  • Exchanges this information with other drivers.

General Services

  • Wears proper attire.
  • Serves all passengers in a friendly manner.
  • Runs errands for the GIZ Office e.g. delivery of letters/messages, payment of bills, and makes minor purchases as directed.
  • Is responsible for official documents in vehicle.
  • Is responsible for a special petty cash and submits vouchers for accounting on a monthly basis.
  • Does not use, at any time, the car for his/her own private purposes. Such misuse of the vehicle is considered a serious misconduct, and will immediately lead to a warning and may result in dismissal.
  • Does not drink alcohol before and during working hours.

Other Duties/Additional Tasks

  • If there is no outside driving activity, s/he stands by in the office, supports other colleagues in case of need, and does other office work as assigned.
  • Reports any incident whilst off duty that may affect his/her driving licence entitlement, as well as any newly known health problems that may affect his/her ability to drive.
  • Undertakes further job training related to his/her position and duties, if required.
  • Performs other duties and tasks at the request of management.

Qualifications

  • Uganda Advanced Certificate of Education (“A” Level)
  • Holds a valid driver’s licence.

Details of experience

  • At least 3 years of working experience as a driver, with references.
  • Experience in driving in difficult terrain.
  • No history of major accidents within the past 3 years Excellent English and Luganda language skills.
