World Vision Uganda Job Vacancy For Front Desk Officer 

Purpose of the position:

The front desk officer is responsible for reception area management and will be the first point of contact for the organization. The position will require that all front desk responsibilities are delivered with high quality and in a timely manner. The incumbent will also support administrative procedures and maintain a high standard in the reception area.

Key Outputs/Responsibilities.

Front Desk Operations / Customer Care

  • Screen phone calls, enquiries and requests and relay appropriate messages accordingly.
  • Ensure that incoming communications/correspondences are responded to professionally and reliably passed on to the appropriate person(s).
  • Assist guests who have inquiries and provide clients with information on World Vision activities, guide them to the appropriate ministry/departments for support and engage them in a professional, respectful manner.
  • Maintain a welcoming front desk and waiting area atmosphere at all times. Reception area should be kept tidy and presentable, with all necessary stationery and reading material.
  • Receive and dispatch documentation (correspondences, contracts) to different service providers, contractors, suppliers via courier services.

Administrative support

  • Support department procurement processes, through PROVISION; receive and process invoices, deliveries and payments.
  • Review and prepare payments for office utilities (electricity, phone bills, courier services etc.) and follow up on payments to service providers.
  • Responsible for handling staff CUG airtime and data loading to facilitate efficient communication.
  • Order department supplies and stationery, maintain inventory of stock, advice on replenishments.
  • Liaise with department focal persons to coordinate meetings and events – support to ensure adequate logistical requirements are provided.
  • Any other duties, as may be assigned.

Qualifications: Education/Knowledge/Technical Skills and Experience.

  • Diploma / higher education in secretarial studies, business administration or related field.
  • At least One year’s relevant business work experience in the same role.

World Vision Uganda Job Vacancy For Donor Liaison Officer

Purpose of the position:

Lead the National Office servicing of WVUS Major & Mega donors, Ministry & Church Partners and school partnerships. The Donor Liaison will collaborate with appropriate WVUS Departments and Channels and the appropriate National Office Departments to enhance the overall donor experience. The expected result is increased financial support of National Office programs, increased awareness and advocacy for National Office programs and strategy. The results will include a mutual transformation of donors, beneficiaries and staff. When travel resumes, the Donor Liaison will be expected to host WVUS donor visits, plan and produce high quality deliverables that demonstrate program impact at the individual beneficiary level through photos, stories, and video. As time permits beyond their WVUS work, the Donor Liaison will collaborate and support the Communications Team with documentation/gathering significant change stories, photography, videos and media visibility.

Key Outputs/Responsibilities.

Donor Relations

  • Work with World Vision U.S (WVUS) Donor Liaison Managers (DLMs), Vision Trip Managers, and Trip Leaders to design, facilitate and host WVUS donors while adhering to all visitor requirements and standards. When travel resumes, donors that visit will HNW, Church/Chosen, Team World Vision, and others.
  • Develop virtual experiences for donors through Custom Calls, Virtual Vision Trips, Chosen Calls, Ignite School Calls, and other creative requests that come from WVUS clients. Accommodate new dimension of virtual work that allows face-to-face donor experiences, through excellent planning and execution.

Delivering Donor-Facing Tools for WVUS

  1. Gathering & writing Impact Stories
  2. Videos & Selfie Videos
  3. Photography
  • These tools are an essential conduit of resources for the reps in all WVUS channels (Philanthropy, Church, Team World Vision, CHOSEN, Schools, and more).

Contributing to the WVUS Donor Liaison (Dl) Team

  • Collaborate with other World Vision US Donor Liaison officers in 10 countries to share learnings and best practices.
  • Attend DL cross-trainings through exposure visits.
  • Attend DL online meetings and make required presentations.
  • Attend DL monthly training calls with the DLMs & Team.

Reputation & Influence

  • Using Looking Outward and Wise Stewardship as guiding behaviours, the Donor Liaison will support as their time permits:
  • Production of digital content and engagements that promote the WVUS & WVI brand. Work to ensure that all content produced is child centred and complies to the WVUS/WVI safeguarding standards.
  • Mainstream Media: Support the generation of editorial features.
  • Reputation Management: Respond in a timely manner to all reputation incidents that will be assigned.
  • Generate Field Fundraising Content: Deliver on WVUS Support Office content needs, produce monthly impact stories and ensure they are uploaded on a the WVU hub.

Internal Engagements

Through Unity and Trust and Looking Outward, the Donor Liaison will:

  1. Support to orient program teams on capturing stories, photos and videos: Providing writing templates and virtual trainings.
  2. Collaborate with the Communications, People and Culture teams to organize National Office Staff events, if time permits based on WVUS commitments.

External Engagement

The Donor Liaison will, if time permits, based on WVUS commitments:

  1. Participate in advocacy events and activities.
  2. Support documentation of advocacy work for World Vision

Learning and Growth

  • The Donor Liaison will participate in a series of trainings and mentorship programs to develop Communications competencies that will enable him/her to deliver their assignments effectively.

Qualifications: Education/Knowledge/Technical Skills and Experience.

  • Bachelor’s degree required with preference in Communications, Journalism, Community Development, or related field of study required
  • At least one year’s experience with still photography, videography, and story writing style of communication.
  • Understanding of transformational development and ability to translate technical language into language that is easily understandable by donors – required.
  • Experience of hosting or working with US groups of donors or visitors highly preferred.
  • Skilled in personal computing, email and general office productivity software (e.g. Microsoft Office Suite) and other programs for uploading and downloading information

Purpose of the position:

The purpose of this position is to provide day to day management of the Water Sanitation and Hygiene (WASH) activities as detailed in the Omugo Disability Inclusive WASH, Livelihood and Protection Project in order to reduce the vulnerability of refugees and host community especially people with disability and improve child well-being through access to safe water, hygiene and sanitation.

Key Outputs/Responsibilities.

Quality Project Implementation

Ensure all the technical work is completed with the desired quality and according to schedule

  • Actively contribute to planning and guiding the implementation of WASH activities and follow-up to ensure project is on track to achieve intended goals
  • Lead the assessments of water, sanitation and hygiene (WASH) situation in the project areas (Schools and communities)
  • Facilitate the promotion of good WASH practices and active engagement of Persons of Concern (POCs) in transforming their communities for WASH and Inclusion

Capacity Building

  • Strengthen capacity and sustainable WASH management systems through an inclusion approach with PLWDs and other vulnerable populations (i.e. the elderly and children ages 12-18)
  • Build the capacities of project staff, key project partner staff and community structures in participatory methodologies such as PHAST, CLTS etc to encourage their participation in project activities.
  • Lead the development and distribution of all training materials/ guides to deliver training in schools – to the children, teachers and community members as an ongoing capacity building strategy

Reporting and documentation

  • Provide weekly and monthly progress and reports to management.
  • Develop and share success stories on the WASH component

Networking, collaboration and representation

  • Participate in the district level, Inter-Agency and zonal coordination meetings as advised by the project manager

  • At least 3 years of previous work experience in a development and emergency setting (preferably an international NGO) in Water, Sanitation and Hygiene program design, implementation
  • Experience in facilitating any of the WASH participatory like PHAST, CLTS, Sanitation Marketing, Behavior, Change Communication and other related innovative hygiene and sanitation approaches that are necessary for the promotion of hygiene and sanitation interventions.

World Vision Uganda Job Vacancy For Senior Resource Development Manager

PURPOSE OF THE POSITION:

To provide overall leadership in delivering high quality, sustainable funding that supports World Vision Uganda (WVU) to realise its mission and objectives in line with its strategy; Our promise 2030. The Senior Resource Development Manager will take lead in the strategic sourcing of funds from various donors like the EC, USAID, AusAID, KOICA etc. as well as private donors and develop and achieve fundraising targets.

KEY RESPONSIBILITIES:

Donor Engagement:

  • Develop and maintain a Resource Development Business Plan to guide strategic interactions with potential donors and partners.
  • Proactively build strong networks and relationships with key donors.
  • Represent WVU to donors, both informally and formally, including giving presentations on behalf of WVU, as required.
  • Represent WVU in negotiations with donors over grant contracts etc.
  • Maintain a strong overall awareness of donor trends (both globally and for Uganda specifically) and awareness of specific, relevant grant opportunities.
  • Facilitate and coordinate interactions between WVU colleagues (including technical specialists and senior leadership) and key donor representatives, as appropriate.
  • Engage with WV Support Offices in order to support their donor interactions in global capitals.
  • Collaborate with colleagues to develop and disseminate information resources (e.g. fact sheets, capacity statements, situation reports) that can enhance donor engagement.

Networking, External Coordination and Relationships:

In addition to donor relationships above, the jobholder will:

  • Collaborate with colleagues (especially technical specialists) to ensure effective networking through and information flow from inter-agency fora, including refugee sector working groups and government ministry working groups. This will include direct participation in such fora from time to time.
  • Collaborate with colleagues (especially technical specialists) to ensure effective bilateral engagement with key government ministries.
  • Proactively develop strong relationships with counterparts at peer NGOs, UN agencies, and other organisations in order to facilitate information sharing, enhance intelligence gathering on donor opportunities and identify potential partnerships for grant applications.
  • Proactively develop strong relationships with World Vision Support Offices with a view to identifying new funding opportunities from private fundraising sources.
  • Represent WVU within the global organization as focal point for Grant Acquisition & Management, interacting with other World Vision offices including in the East Africa Region (EARO), Brussels and Geneva offices, and Global Centre.

Proposal Development:

  • Lead the development and submission of winning funding applications (approximately 50 applications annually) in accordance with WVU Grant Acquisition Procedures and related best practices. This shall include day-to-day coordination of a team of (Senior) Business Development Officers and, from time to time, direct writing of proposals.
  • Make timely recommendations to Senior Leadership Team on grant opportunities, which should be pursued.
  • Ensure strong collaboration with World Vision Support Offices on relevant funding opportunities.
  • Ensure strong coordination with other departments within WVU on proposal development, notably technical specialists, operations division and finance.
  • Engage additional resources from within the World Vision International partnership, as necessary, in order to enhance proposal development. This may include technical specialists, grant writers (where surge capacity is needed) or other contributors.

Staff Management:

  • Manage a team of 3 staff ensuring high performance management, capacity building and teamwork.
  • Provide leadership in facilitating a high performance management culture, open trustworthy staff relationships and integrity to enhance smooth staff relations and accountability.
  • Lead recruitment processes, as required.

Other:

  • Contribute, as required, to development and implementation of the WVU National Strategy, particularly giving advice from the perspective of latest donor trends.
  • Collaborate strongly with Operations/Programmes division for smooth handover of awarded grants so as to ensure effective start-up of implementation.
  • Provide ongoing advice to Operations/Programmes division, as required, on issues relating to donor regulations and relationships.
  • Maintain a general overview of the implementation status of existing grant projects so as to be able to effectively communicate with donors, as required.
  • As a senior staff member, participate in and actively support the overall leadership of the Programme Quality division.
  • Be flexible to undertake additional tasks, from time to time, in order to enhance the overall performance of the Programme Quality division and WVU in general.
  • Contribute to effective information management and information flows. This shall include provision of all relevant inputs into the Horizon information system and provision of necessary management reports within WVU and EARO.
  • Ensure quality management of departmental budget.

KNOWLEDGE, SKILLS AND ABILITIES:

  • A university level degree in a relevant field (masters is preferred).
  • At least 5 years of experience in programme design and/or proposal development. Significant experience of government donor relations and fundraising is essential.
  • Well informed on latest trends in grants sector.
  • Excellent writing skills.
  • People management skills. Strong interpersonal and networking skills to work cross organizationally and with different cultures.
  • Results oriented leader with the ability to handle a heavy work load, manage and satisfy multiple conflicting organizational, donor and other stakeholder demands.
